How to track a cold email campaign (opens, clicks, and replies)

Cold outreach lives or dies on what you can measure. Here is how to track opens, clicks and replies honestly, without an ESP and without fooling yourself.

Tracking a cold email campaign means measuring three things per recipient: opens, which are an estimate because a loaded image is not a read; clicks, which are reliable because a tap is deliberate; and replies, the outcome that actually matters. Lead with clicks and replies, and treat opens as a soft signal, since privacy features inflate them.

Cold email is a numbers game played at small volumes, which is exactly why the numbers have to be honest. When you are sending a few hundred messages, not a few hundred thousand, one inflated metric can send you rewriting a subject line that was never the problem. The fix is to track the right three things per recipient and to know which of them you can actually trust.

Those three things are opens, clicks and replies. They are not equally reliable, and treating them as if they were is how outreach teams end up optimising for the wrong signal.

Opens: a soft signal, not a read

An open is logged when the recipient mail app loads a tiny invisible image in your message. That is not the same as a person reading it. Apple Mail Privacy Protection loads that image for many recipients automatically, which inflates opens, while anyone who blocks images reads without ever counting. Plain-text cold emails, which many deliverability guides recommend, carry no image at all and cannot be open-tracked.

Use opens to get a rough read on subject-line pull across a batch, but never report them as reads and never pause a sequence on opens alone.

Clicks and replies: the signals that hold up

A click is logged when the recipient taps a tracked link. Because a tap is a deliberate act, a mail client cannot fake it the way it can auto-load an image, so clicks are reliable and they work even in plain-text email. If your cold email has a link, the click is your first trustworthy sign of interest.

Replies are the real outcome, and they are unambiguous: a human wrote back. The healthiest way to run a cold campaign is to lead with replies as the goal, clicks as the leading indicator, and opens as background colour.

The three signals at a glance

SignalWhat it tells youHow much to trust it
OpenMaybe saw the subject lineAn estimate, often inflated
ClickDeliberately engagedReliable
ReplyA real conversation startedThe outcome that matters

How to track it without an ESP

You do not need a bulk email platform to track cold outreach, and for deliverability many senders prefer not to use one. The approach that keeps you in control is to send from your own inbox and measure separately: add each recipient, drop in a tracking pixel and a wrapped link that carry that recipient identifier, and send the message yourself from Gmail, Outlook or your usual client.

directinapp does exactly this, per recipient. You send from your own address; directinapp only measures, labelling opens as an estimate, treating clicks as the reliable signal, and keeping machine opens separate so a proxy fetch never gets mistaken for a prospect leaning in.
